PDF-XChange Standard is a virtual PDF printer for Windows that creates PDF files from documents in applications with a print function. It is suited to offices and individuals who need to turn Word files, spreadsheets, drawings, web pages and other printable content into searchable, shareable documents. Instead of sending a job to paper, the printer captures the output and saves it as a PDF. Text remains searchable when it is present as readable text in the source; image-only content does not become searchable automatically.
Print settings control how the source is arranged and rendered. Users can select output resolution, embed fonts, and apply compression and optimisation to manage file size. N-up printing places multiple source pages on one sheet, while booklet mode arranges pages for folded printouts. A layout preview helps check page sizing and placement before creating the file. Saved profiles preserve printer preferences for repeated tasks, such as producing documents with consistent resolution or page layouts.
The printer can add watermarks, overlay existing PDF pages, and generate headers, footers and bookmarks. These options support recurring document formats, including company stationery and reports with navigable sections. PDF/A output is available for archival workflows. Digital signatures and security settings, including encryption options, provide controls for signing or restricting access to output files. Email integration can pass completed PDFs to supported mail applications or SMTP services.
Microsoft Office integration adds document-specific functions, including clickable tables of contents and embedded links. Its batch converter can process multiple supported Office and text-based files into PDFs, which is useful when preparing a collection of documents without opening and printing each one individually. Automatic file naming and destination rules can help standardise output in repeatable workflows; JavaScript-based rules are also supported. The program can therefore serve both one-off conversions and routine office publishing tasks.
PDF-XChange Standard is shareware and is intended for Windows desktop use. It works through the Windows printing workflow, so PDF creation is available from many applications without requiring each one to provide its own export function. Some results depend on the source document: readable text can produce searchable PDFs, while scanned or image-only material remains non-searchable unless processed separately. Its features make it useful for document conversion, controlled print layouts, batch Office conversion and preparing PDFs for distribution or archiving.
